This Privacy Policy describes how Math Ease ("we", "us", or "our") collects, uses, and protects the personal information of users of our web application and mobile applications (collectively, the "Service"). By using the Service, you agree to the practices described in this policy.

Information We Collect

We collect the following categories of information when you use the Service:

  • Account information: Full name, email address, phone number, and password (stored as a secure hash).
  • Profile data: Role (student, parent, teacher), grade level, and profile photo if provided.
  • Academic data: Course enrollments, session attendance records, assignment submissions, and assessment scores.
  • Device & usage data: Device type, operating system version, push notification token, app version, and general usage analytics (e.g., screens viewed, actions taken).
  • Communications: Messages or support requests you send to us.

We do not collect payment card numbers or sensitive financial information directly.

How We Use Your Information

We use collected information to:

  • Create and manage your account and authenticate your identity.
  • Deliver core features: course management, session scheduling, attendance tracking, and assessments.
  • Send push notifications for upcoming sessions, assignment deadlines, and important announcements.
  • Enable parents to monitor their child's academic progress.
  • Improve the Service through aggregated, anonymised analytics.
  • Respond to support requests and communicate service updates.
  • Comply with legal obligations.

Sharing of Information

We do not sell or rent your personal information. We may share it only in the following circumstances:

  • Teachers & administrators: Academic data (attendance, grades) is visible to the teacher and authorised administrators of the platform.
  • Parents: A linked parent account can view their child's enrollment status, attendance, and assessment results.
  • Service providers: We use trusted third-party services (e.g., cloud hosting, push notification providers such as Firebase Cloud Messaging) solely to operate the Service. These providers are contractually bound to protect your data.
  • Legal requirements: We may disclose information if required by law or to protect the rights, safety, or property of Math Ease, its users, or the public.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time by contacting us (see the Contact section). We will honour deletion requests within 30 days, except where retention is required by law.

Security

We implement industry-standard security measures including encrypted HTTPS connections, hashed password storage, and role-based access controls. While we strive to protect your data, no method of transmission over the internet is 100% secure. You are responsible for keeping your account credentials confidential.

Push Notifications

The mobile application may request permission to send push notifications. You can grant or revoke this permission at any time through your device's system settings. Revoking permission will not affect your ability to use the core features of the Service.

Children's Privacy

The Service is designed for use by students, including minors. We collect only the minimum information necessary to deliver educational services. Accounts for minors are created by a teacher or administrator, and parents can be linked to monitor their child's progress. We do not knowingly collect personal information from children for marketing purposes.

If you are a parent or guardian and believe we have collected information about your child in a way that is not described here, please contact us and we will address your concern promptly.

Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Withdraw consent to processing where consent is the legal basis.

Payment Processing

Payments made through our platform are securely processed by a third-party payment service provider, Paymob. We do not store or have access to your full credit card or payment card information. Payment data is collected and processed directly by Paymob in accordance with their privacy and security policies.

Refund Policy

All purchases made through our platform are final and non-refundable.

By purchasing a course or booking a private session, you acknowledge and agree that:

  • No refunds will be issued after payment has been successfully completed.
  • Missed, partially attended, or unused sessions are not eligible for a refund.
  • Failure to attend a scheduled session does not entitle the student to a refund or credit.
  • Refunds will only be considered if the session is canceled by the instructor and a suitable replacement session cannot be arranged.
  • The platform reserves the right to reschedule sessions when necessary, subject to instructor availability.

Exceptional Refund Requests

In exceptional circumstances, a refund request may be submitted for review. Any refund, whether full or partial, will be granted solely at the discretion of the platform's management. Submission of a refund request does not guarantee approval.

The platform reserves the right to approve or deny any refund request based on the specific circumstances of the case.

Once approved, a refund takes 7 to 15 days to be processed.
